Bookings and confirmations
Add confirmation numbers, tickets and booking documents to journeys, stays and activities, keep track of what's still to book, and record a decision between options.
For trip editors · Updated October 19, 2026
A confirmation number belongs to the thing it confirms: a train or flight, a stay, an activity, a meal or one of the day's plans. You add it there, and the trip page shows it in Reference with everything it covers. You need editor access.
Add a confirmation number
- Open the thing it confirms:
- a train or flight: click Edit beside it on the trip page;
- an activity: click Edit beside it, or open it from its day's page;
- a stay: on Edit trip, in Bookings & confirmations, click its Confirmations link;
- a meal or one of the day's plans: open the day with Edit this day, then click Confirmations on its row.
- In the Confirmations box, type the Confirmation number, and the Provider if it's new (for example Delta).
- Click Add confirmation.
The number now shows as a chip on the item, and in full in Reference. To change its provider, label, manage-booking link, cost, booking date, notes or who's on it, click Edit details next to it.
One number for several things
Many bookings cover more than one thing: one flight booking for four flights, one rail ticket for two trains. Add the same number to each of them. The site recognises a number the trip already has (ignoring spaces and capitals) and links it, rather than making a second copy, so Reference lists it once with everything it covers.
You can also pick it from Or pick one this trip has and click Add.
To take a number off one item, click Remove from this. The confirmation stays on the trip and on its other items.
Tickets and documents
Boarding passes, e-tickets and booking PDFs go on the confirmation they belong to, so everyone on the trip can open them from their phone.
- Open the confirmation: click Edit details next to its number in an item's Confirmations box, or Edit on its row in Reference.
- Under Tickets & documents, choose one or more files and click Upload. In an item's Confirmations box, Add a file does the same.
You can add PDF, PNG and JPEG files and iPhone photos (stored as JPEG), up to 10 MB each and 200 MB for the whole trip. Tickets also count towards your own 1 GB for photos and tickets (storage). Anything else is turned away with a message saying why.
On the trip page, a confirmation with files shows 📎 and how many on its chip, and its row in Reference lists them; click a file to open it. Anyone who can see the trip can open them; only editors add or remove them (Remove next to the file). Deleting a confirmation deletes its files too. The PDF booklet lists the file names under each confirmation, but doesn't include the files.
A journey's stages
Each train or flight shows its stage:
| Stage | Means |
|---|---|
| Planned | It has a day but no times yet, perhaps just a rough "~45 min". |
| Scheduled | It has departure and arrival times. |
| Booked | It has at least one confirmation number. |
Insurance and passes
A confirmation that covers no single item, such as travel insurance or a rail pass, is a loose one. On Edit trip, in Bookings & confirmations, click Add a loose confirmation. It shows in Reference under Other.
What's still to book
Reference keeps two lists:
- Still to book: the trip's tasks, such as "ICE seats for 6", most urgent first. A task can be about one journey, stay or activity; it then shows on that item as Still to book. If a task's name mentions a stay, journey or activity, editors see Looks like: with a Link button to connect them, or Not this one.
- Not booked yet: flights, rental cars, trains with an operator or number, stays and bookable activities (tours, timed entries, tickets, tables, car hire) that have no confirmation and no task. Nothing needs typing to appear here.
When you add the first confirmation to something that has open tasks, the site asks Mark these done? Tick the tasks that are finished and click Mark ticked done, or click Not yet.
Decisions with options
Some tasks are a choice, such as which hotel to book. Make the task a decision by giving it options:
- In Reference, under the task, click Add options (or Options (n) once it has some).
- For each option, fill in its title, and if you like a detail, a link and an estimated cost.
- Tick Chosen on the one you pick, or Not decided yet, and click Save.
The task now reads Decide: with its options, the chosen one ticked. Choosing doesn't book or add anything. To add the choice to the trip, use Add as a stay (opens Edit trip with a new stay filled in) or Add as an activity (pick a day; opens a new activity filled in). Nothing is saved until you save that page.
Problems
| Problem | What to do |
|---|---|
| The same number shows twice in Reference | One copy was typed with a different spelling. Open one and fix its number, or remove it from its items and delete it. |
| A train still says Scheduled | It has no confirmation yet. Add its number. |
| Something is in Not booked yet that is booked | Add its confirmation number, or a task if it's being handled. |
| No Confirmations box | You need editor access. See sharing and access. |
| A file won't upload | It must be a PDF, PNG, JPEG or iPhone photo, at most 10 MB, and the trip's files can't go over 200 MB in total. Remove old ones, or save a large scan at lower quality. |
