Sharing and access
Who can see, comment on or change a trip, how to invite people, and what a public share link shows.
Updated October 19, 2026
A trip is private. Only people who have been given access to it can open it, and each person's access is set trip by trip.
Who can do what
Each person on a trip is a viewer, a commentor or an editor. Each role can do everything the one before it can.
| Role | Can |
|---|---|
| Viewer | Read the whole trip, its map, budget and photos, and download the PDF booklet. |
| Commentor | Also add notes on the trip, a day, a plan or a task (comments and notes), and add photos to the trip's album. |
| Editor | Also change everything: the trip's details, days, journeys, stays, activities, meals, confirmations, contacts and tasks; invite people and change their roles; and share the trip. |
Deleting a trip needs editor access and being the person who created it.
The same account can be an editor on one trip and a viewer on another. If you open a trip you have no access to, the site says the page doesn't exist.
Who's on the trip
Click People at the top of the trip page (next to Map, Budget and Photos) to see everyone who can open the trip, their role, and who added them. Editors also find it on Edit trip.
Inviting people
You need editor access.
- On the trip page, click People.
- Under Invite someone, type their Email address and pick a Role.
- Click Invite.
If the address belongs to an account here, that person can open the trip straight away and gets a notification. Otherwise they get an email with a link to join. The link:
- works once, for 14 days;
- lets them log in, or create an account, and then click Join trip;
- can be accepted from any account, so a forwarded invitation works too.
When they join, they can tick I'm travelling on this trip to be added to the trip's travellers, and you get a notification.
Invitations still waiting are under Waiting to join. Copy link gives you the link to send yourself (by text message, say), Resend emails a fresh link (the old one stops working), and Cancel turns it off. A trip can send 20 invitations a day.
Changing roles and removing people
Editors can change anyone's role with the menu beside their name, or click Remove. You can't give anyone a role above your own, and the person who created the trip can't be demoted or removed.
Anyone can leave a trip: on People, click Leave this trip beside your own name. You can't open the trip again unless someone invites you back.
To start trips of your own, click New trip on Trips, or Plan a trip on a goal in your bucket list (starting a trip). You become the editor of the trip you start.
Emails about changes
When someone changes a trip you're on (a journey, a stay, an activity, a meal, a day's plans or a confirmation), you get one email a day listing what changed and who changed it. Your own changes aren't included, and nothing is sent on a day when nothing changed.
If a journey's time or date changes in the week before it leaves, you're told straight away.
To stop these emails for one trip, open ⋯ on the trip page and click Stop emails about this trip; Email me about changes to this trip turns them back on. To stop all emails from the site, turn off Email notifications in your Settings; the changes still show under the bell.
The public share link
An editor can make a read-only link that anyone can open, without an account. It shows a summary only:
| Shown | Never shown |
|---|---|
| The destination and the dates | The trip's own name, which often names who's going |
| How many nights, and the budget level (such as Moderate) | Who's travelling |
| Each day's number and weekday | The day's theme and write-up |
| How many plans each day has | Trains, flights and stays |
| The restaurants: name, meal, cuisine and price | Confirmation numbers, contacts, tasks and costs |
The shared page ends with "This is a summary. Travel details, bookings and confirmation numbers are not published."
Sharing and stopping sharing
- On the trip page, click ⋯ next to Download PDF.
- Click Share a read-only link. The menu now shows the Shared link.
- Click Copy and send the link to whoever you like.
To turn the link off, open ⋯ and click Stop sharing. The old link stops working at once. Sharing again makes a new link.
Anyone who can see the trip can open ⋯ to copy a shared link; only editors can share or stop sharing. The ⋯ menu also has Add to calendar, a different, private link for your own calendar (calendar feed).
Problems
| Problem | What to do |
|---|---|
| "Page not found" when opening a trip | You don't have access to that trip. Ask one of its editors to invite you. |
| "This invitation can't be used" | It expired, was cancelled, was already used, or was sent again with a new link. Ask whoever invited you to resend it. |
| You joined with the wrong account | On People, click Leave this trip, and ask for a new invitation. |
| No Invite someone on People | Only editors can invite. |
| No Share a read-only link in the menu | Only editors can share. The trip may also already be shared: look for Shared link. |
| A shared link stopped working | Sharing was stopped, or stopped and started again. Ask an editor for the new link. |
